Position Summary
The Recruitment and HR Administrator will support GIAN Hospitality by managing end-to-end recruitment processes, employee onboarding, and general HR administration. This role requires excellent communication and organisational skills to ensure smooth coordination between management and team members. The ideal candidate will be proactive, detail-oriented, and able to maintain confidentiality while assisting with a variety of HR and compliance-related tasks.
Key Responsibilities
Recruitment & Onboarding
- Manage end-to-end recruitment processes, including job advertising, screening, prescreening, and interview coordination.
- Schedule and coordinate interviews, trials, and onboarding activities.
- Conduct reference checks, VEVO checks, and maintain visa expiry records.
- Prepare and process new employee documentation and onboarding materials.
HR Administration
- Provide HR inbox support by responding to general employee queries.
- Conduct welfare checks and escalate concerns when necessary.
- Process employee terminations and resignations, ensuring all documentation is completed accurately.
- Send abandonment letters and related correspondence as part of the termination process.
- Maintain employee files and ensure compliance with company and legislative requirements.
- Keep track of employee documentation compliance, ensuring all required records (licenses, IDs, visas, etc.) remain valid and up to date.
- Support disciplinary and HR processes, including scheduling, attending, and documenting meetings.
- Assist with grievances, performance improvement plans (PIP), and general HR correspondence.
- Conduct variations in employment and pay rate by request (e.g., part-time, casual, full-time), send updated contracts, file them appropriately, and record changes within the Employment Hero system.
Compliance & Engagement
- Create, maintain, and file monthly Toolbox Talks.
- Assist with maintaining compliance records, including monthly VEVO checks and visa expiry tracking.
- Ensure HR policies and procedures are followed across all departments.
- Provide administrative support for HR projects and initiatives as required.
Communication & Responsiveness
Be responsive to management requests and complete assigned tasks within required timeframes.
- Maintain open and professional communication with management, employees, and external stakeholders.
Qualifications and Experience
- 2–5+ years of experience in Human Resources, recruitment, or a similar administrative role (preferred).
- Degree or formal qualification in Human Resources or a related field (preferred).
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication.
- Ability to maintain confidentiality and handle sensitive information.
- Proactive approach to problem-solving and process improvement.
- Experience with HR software, databases, or Employment Hero (preferred).
- Understanding of employment legislation and compliance requirements.
- Knowledge in employment law is highly regarded.
- Familiarity with the Hospitality Industry (General) Award and its application in workplace practices.
