Overview

The Office Administrator is responsible for ensuring the smooth operation of the office by managing administrative tasks, supporting team and maintaining efficient systems and processes.

About the Role

Reporting directly to the country head, this role is responsible for keeping the office running smoothly day-to-day and supporting the wider team with administration, documentation, and professional/efficient office operation.

Key Responsibilities

  • Office Operations

  • Office & Facilities Management:

    • Maintain the office to a professional standard to ensure efficient office operation;
    • Manage office maintenance (printer toner, water filter, plants and etc.) and maintain office supplies (stationery, consumables, fresh fruit, drink and etc.).
    • Keep office spaces tidy and functional — including meeting rooms and kitchen upkeep (restocking, cleaning, dishwasher management)
    • Liaise with building management, cleaners and third-party suppliers, manage disposal of electronic wastes, where necessary.
  • Maintain expertise in Office Automation systems (e.g. OA, Helios); update user guides as needed

  • Organize or assist catering, team building activities, birthday, Christmas party and other company events,
  • Insurance Management: responsible for various business related insurances, e.g. office, travel, public liability, and WorkCover insurance renewals and claims as necessary.
  • Travel Coordination: Manage flight bookings and expenses for business related travel of the team.
  • Finance Supports

  • Perform vendor payment with bank transfers, and tracking,

  • manage monthly pretty cash, credit card reconciliations.
  • Monitor account payable mailbox and forward invoices to project teams.
  • Team Supports

  • Set up computers and phones for new team members.

  • Act as a contact point as the Australian team and country head assistance.

Skills & Qualifications

· Excellent common sense with strong organizational skills.

· Excellent communication and interpersonal abilities.

· Proactive, reliable, and a great team player

· Proficiency in MS Office Suite (Word, Excel, Outlook).

· Ability to multitask and work independently.

· Prior experience in office administration or similar role preferred.

· Chinese language skills preferable
