About Us

Vitrinite is an agile, owner-operated coal company with a growing presence in Queensland's Bowen Basin. As we scale up production and innovations like the HWM300 arrive onsite, we're seeking a dedicated Production Administration Officer to support our operational team and help streamline admin tasks in a fast-moving mining environment.

What You'll Do

Reporting to the Production Manager, you'll provide critical administrative support to the production team under our 7/7 roster arrangement.

Core duties include:

  • Attending internal production and operational meetings and preparing accurate minutes
  • Drafting, editing, and distributing standard production reports and summaries
  • Managing correspondence, data entry, and filing within production systems (e.g., Excel, SharePoint, or site-specific platforms)
  • Coordinating schedules, assisting with as‑run sheets, meeting minutes, and day‑to‑day production admin tasks
  • Supporting production planning by tracking parts or consumables and coordinating with SCM or maintenance support
  • Assisting with site access, timesheet coordination, and production-related document control
  • Liaising with internal teams (operations, maintenance, planning) to collate and escalate key information efficiently

You Bring

  • At least 2 years' administrative experience, ideally within mining, production, or operations (rotating or FIFO environments preferred)
  • Proficiency in Microsoft Office - especially Excel (data manipulation, pivot tables), Word, and Outlook
  • Excellent written and verbal communication skills; comfortable preparing meeting minutes and operational summaries
  • Strong organisational skills, attention to detail, and ability to deliver on tight turnaround in a dynamic, shift-based workplace
  • Experience with production or maintenance management systems (e.g SAP, Minestar, Pulse) is a plus
  • Team-focused, can manage multiple tasks under pressure, and is proactive with follow-through
