Position Overview
Join our dynamic real estate team as a Front Office Manager, where you'll be the welcoming face of the business and the driving force behind a smooth-running office. This varied role blends reception, administration, and sales support — from greeting clients and managing calls to coordinating office operations and assisting our agents. You'll take pride in presentation, provide exceptional client service, and ensure everything behind the scenes runs seamlessly. Required Skills
- Excellent oral and written communication skills, including the ability to communicate at all levels
- Well-presented and the ability to create a positive impression in all interactions with staff, service providers and clients
- Enjoys dealing with people on a daily basis and providing superior client service
- Strong organisational skills
- Good sense of initiative and the ability to work independently
- Excellent computer skills, particularly with Microsoft Word and Outlook
- Previous real estate experience desirable, but not essential
- Hold or working towards getting a Certificate of Registration
Specific Objectives
Front Office Management
- Provide a first contact for all visitors or callers to the office – welcome visitors to the office and ensure they are comfortable
- Respond to all telephone enquiries in a positive manner, and ensure information is passed on to the appropriate person in a timely manner
- Responsible for the presentation of the office – ensure the front desk, foyer, kitchen and meeting room are tidy at all times
- Maintain the functionality of the office and all services such as IT, Telecommunications and Equipment; and coordinate assistance for all staff in these areas
- Maintain adequate communication of office activities to management
- Supervise and report on office OH&S related policies and issues
- Maintain office compliance by keeping certificate and licences up to date, and entering details into the daily listing audit
- Maintain familiarity with office listings, including property advertisements, so an enquiry can be directed to the most appropriate member of staff promptly
- Assist in building a positive and productive office culture
- Ensure adequate provisions of general supplies to the office and manage ordering of sales and property management stock for Agents
- Attend to the mail daily
- Organise new starter packs, welcome cakes and birthday cakes
- Monitor McGrath advertising in the foyer/front desk – ensure stock lists are readily available for clients
- Book in meetings for the board room when asked. Ensure the board room in ready for unexpected meetings and during meetings supply water bottles
- Keeping office neat and tidy
PM and Sales Support
- Preparation of newsletters
- Update details in Agentbox as required
- Assist in creating Open For Inspection and Auction packs
- Send out notices to tenants and owners from Strata/Council
- Distribution of Keys and logging keys in and out of the office.
- Assist with emailing and scanning water and council rates to accounts
- Assist Principal with administrative work for commercial listings
