Office Manager

Our client is a privately owned company with an interesting portfolio of projects in the strategic mineral exploration space, (currently a very growing industry), and other diverse portfolios. The business is based in Sydney and is active across Asia Pacific. They are looking to hire an experienced Office Manager to manage the Australian operations, working very closely with the CEO. This role could be on a part time basis (3 days per week), or a full-time role for the right person.
Responsibilities:
As part of the small entrepreneurial team, you will report to and work closely with the CEO on the following general administration:
- Bookkeeping using Xero, managing banking incoming, and outgoing payments, and updating of the cashflow spreadsheet.
- Manage the CEO's inbox, draft email responses as well as calendar management.
- Preparing financial statements, reports, invoices, letters, and other documents.
- Liaising with accountants for reporting and other matters.
- Web page design and upkeep – using WordPress
- Writing proposals for newsletters and website updates.
- Online research for new projects using google search and emerging AI tools.
- Filing and retrieving corporate records, documents, and reports (both physically and electronically) to maintain and improve business workflow and operations.
- General office support including travel arrangements, meeting notes and other business and household matters.
Requirements:
- A minimum of 5 years of office management experience is required, with prior experience working in a small private company office preferred.
- Possess creative thinking for writing proposals, newsletters, and website updates.
- Strong research and analytical skills, with the ability to quickly grasp new ideas, concepts, and industries.
- A tech savvy individual who is familiar with Microsoft products, G Suite, video interviewing platforms, and emerging AI tools. Be proficient in basic IT such as Bluetooth, PC computer and laptop setup.
- Demonstrated initiative and capability to work independently, as well as within a team environment.
- Proactively monitor emerging trends in technology and global industries.
- Some understanding of geology or earth sciences is ideal, with the desire to learn more about this.
- Be based in Sydney, with the ability to work in the Eastern Suburbs office three or more days per week when needed.
- Excellent communication and collaborative skills, with fluency in written and spoken English.
- Australian Citizenship or rights to work in Australia is needed.
