The Opportunity
Due to continued growth, we're seeking an experienced Administration Officer to join the Pharmacy Registration Board division at HLB Mann Judd Perth. This is a permanent part-time opportunity, and we encourage applicants to specify their preferred working days and hours in their covering letter. For the right candidate, there is also potential for the role to evolve into a full-time position over time, should that be of interest.
The Pharmacy Registration Board of Western Australia, established under the Pharmacy Act 2010, plays a vital role in regulating pharmacy premises across the state. Its functions include advising the Minister on matters related to the Act, administering the registration scheme, monitoring compliance, and enforcing legislative requirements.
In this role, you'll work closely with the Assistant Registrar and Compliance Pharmacist, providing essential administrative support across a range of tasks that contribute to the effective operation of the Board.
Your duties will include:
- Board Records Management - Maintain and organise board documentation, including filing, archiving, and record creation, to support the Compliance Pharmacist and Assistant Registrar.
- Administrative Support - Assist with application processing, respond to pharmacy enquiries, and carry out general office tasks such as printing, photocopying, and document collation.
- Documentation Preparation - Prepare official documents including pharmacy certificates, approval letters, and other regulatory communications.
- Phone Enquiry Support - Provide backup support for the Assistant Registrar during leave periods, managing phone-based enquiries for pharmacies.
- Legislative Compliance Assistance - Support the Pharmacy Board in meeting its obligations under relevant legislation, including registration processing and public enquiries.
- Meeting Coordination - Assist with board meeting logistics, including administrative preparation and catering support.
About You
- Proven experience as an Administrator, ideally with 5+ years in a medical, regulatory, or compliance-focused environment within the health sector.
- Strong customer service skills, with the ability to manage sensitive or challenging conversations with professionalism and empathy.
- A confident and courteous telephone manner.
- A mature and professional approach when interacting with clients and colleagues.
- Demonstrated ability to manage multiple tasks and deadlines effectively, with strong time management and organisational skills.
- Proficiency in accounting software packages such as MYOB and Xero.
- Experience in bookkeeping or data entry will be highly regarded.
