We have an exciting opportunity for an **Document & Systems Support Officer** to join our **Administration Team** in **Melbourne**. This role is responsible for maintaining the accurate records of company documentation as a key element of the quality control process supporting the business. The Document & System Support System Officer provides document support to all teams, quality control processes and other activities as directed. This role will report to the **Administration & Payroll Manager**.
Responsibilities include, but are not limited to:
- Develop and implement manuals as directed
- Maintain the organisation’s documentation in applicable systems
- Support the HSQ function ensuring process and procedural audits are conducted and enhanced through reviews
- Controlling company and related project documentation
- Following and improving document control procedures
- Ensuring all documentation meets formal requirements and required standards
- Conducting regular reviews and document audits
- Using computers to organise and distribute documents for review
- Provide advice and support to the project team for, the storage and management of all project documentation
- Ensure documents and process workflows are updated to reflect system developments as directed
- Ensure consistency in document control processes and procedures
- Ensure high standards of quality are applied to the management, storage, and access to documentation
- Manage document version and revision control
- Ensure the consistency of, and compliance with document and records management requirements
- Recommend changes that improve the quality of relevant processes to ensure that best practice is in place
Successful applicants must have:
- Qualified in Business Administration, or equivalent
- 2+ years in Business System Administration and or Project Administration
- Excellent verbal and written communication skills
- Builds trust easily
- Creative thinker and problem solver
- Self-motivated and a driven contributor who gets things done
- Well organised and detail oriented
- Excellent teamwork
- Experience with any of the following systems is preferred:
- MS Office 365
- MS SharePoint
- 1Breadcrumb
- Altora, or similar Contractor Management System
- Dindo and/or Estimate One, or other Construction Estimating Systems
- Procore, or similar Project Management System
- Buildlogic, or similar Project Management FinancialOr any other systems that may be applicable to our business functions
