**About the role**

You will provide high level, confidential administrative and executive services to the Executive Director to facilitate the efficient and effective operation of the Division.

**Key Accountabilities**
- Provide a full remit of executive administration support services to the Executive Director, exercising discretion and maintaining confidentiality at all times.
- As a first point of contact, receive and disseminate client enquiries to the Executive Director in a timely manner, answering telephones, and preparing documentation to ensure the smooth running of the organisation.
- Liaise with the Office of the Secretary, departmental staff of Minister’s office, staff across the Department, other agencies, and stakeholders on a range of issues, including managing the Executive Directors diary, sourcing information and following-up overdue work.
- Deliver leadership in exemplary customer service to both internal and external stakeholders to ensure accurate and timely responses
- Prioritise and screen the Executive Director’s incoming requests and mail, drawing attention to those matters requiring immediate attention and referring matters to other staff as considered appropriate to enable the most effective use of time and resources.
- Manage and co-ordinate a range of administrative tasks on behalf of the Branch, including Board coordination and administration, reconciliation of accounts, maintaining and ordering equipment and supplies through a range of corporate software.
- Co-ordinate and manage meetings and events for the Executive Director and the Division ensuring they are conducted in line with budget, specification and best practice.
- Prepare, organise and coordinate the preparation of information for the Executive Director so that the Executive Director can provide timely, accurate and comprehensive responses to stakeholders.
- Provide secretariat support, including preparation of agendas, taking minutes, and following up on status of priority actions.

**Renumeration**

Salary SNSW Grade 7/8, with the base salary for this role starting at $92,788 base plus superannuation
