As an Executive Assistant, you will support the Executive Chairman and Global Chief Operating Officer with various tasks and administration duties. To be successful, you will have high attention to detail, take initiative, be proactive and have a can-do attitude.
This role supports two key stakeholders in our global business, with exposure to many parts of the business and senior stakeholders. To maximise interaction and efficiency with the Executive Chairman and Global Chief Operating Officer, our preference is for this role to work from our centrally located Sydney CBD office.

**Requirements**:
**Responsibilities (key tasks and requirements of the role)**
- Managing calendar activities for the Executive Chairman and Global Chief Operating Officer
- Coordinating domestic and international travel arrangements, including flights, visas, hotel bookings and meeting facilities
- Coordinating and providing administrative support for Leadership Team meetings, Executive meetings, Board / Committee meetings, and company offsites
- Taking meeting minutes, tracking actions and managing follow-up
- Coordinating and assisting in the collation and preparation of various documents, including Board meeting packs and papers for relevant meetings, ensuring timeliness and consistency in the quality of presentation
- Managing expense claims for the Executive Chairman and Global Chief Operating Officer
- Building trusted relationships with colleagues, and internal and external stakeholders
- Ad hoc tasks, as required

**Knowledge and Experience**
- Solid experience in a similar role
- Proficient in document assembly (for example, converting or merging PDF files, reformatting different layouts into one consistent layout)
- Proven ability to manage conflicting priorities and deadlines to achieve business outcomes
- Ability to work in an environment that requires sensitivity and confidentiality
