**The Role**
Reporting to the First Assistant Secretary (FAS), Pacific Labour Operations Division, the Executive Assistant is responsible for providing high level administrative support to the FAS, Executive Officer and broader Division, ensuring the effective and efficient operation of the FAS office.
Duties include:
- Preparation of meeting papers, including agendas, action items, talking points and committee meeting folders.
- Coordination and tracking of workflow in and out of the FAS office, including management of tracking systems and reporting.
- Liaising with a variety of senior internal and external stakeholders such as Deputy Secretary offices, Ministers Offices, Secretary Offices, Peak Bodies, High Commissioners and Ambassadors.
- Booking and arranging domestic and international travel, including acquittal of trips and preparation of itineraries.
- Management of credit card acquittals and payment of invoices.
- Supporting and mentoring Division Executive Assistants, including management of Division Executive Assistant meetings to disseminate Group and Division priorities and promoting productive working relationships.
**Skills and Capabilities**
We are seeking an experienced individual with the following skills and capabilities:
- High level organisational skills, with the ability to work in a fast-paced environment while managing competing priorities
- Strong attention to detail
- Ability to exercise judgement and use initiative to identify improvements and anticipate the needs of the FAS and key stakeholders
- Advanced Microsoft Office, PDMS and QBT skills
- Effective communication skills, both verbal and written
- Ability to exercise discretion
- Ability to identify current and emerging priorities
**The Opportunity**
This position is available to Ongoing APS employees as a temporary transfer at level and/or a temporary performance (Acting) opportunity for a period of 12 months, with the possibility of extension/or permanent movement at level.
**Eligibility**
