Executive Assistant

**Position**:
Additionally, there will be project related activities such as data entry, project plan coordination and possibly event management so the role would suit either an Executive Assistant looking to broaden their role into Project Coordination and/or an Administrative Assistant with experience managing executives on senior leadership teams.
The individual must demonstrate leadership abilities, be a role model for professionalism and enjoy working as part of a broader team of executive assistants. Incumbents in similar roles have a significant amount of experience and typically support senior executives
**In this role, you will be responsible for**:
**Executive support**:
- Proactively assess and/or anticipate Executive needs with explicit direction and take appropriate action
- Schedule meetings with internal stakeholders, team members, external clients and external associations, responding to invitations and suggesting appropriate times
- Co-ordinate large meetings (leadership forums, working groups, ad-hoc workshops etc.)
- Answer phone calls, filtering and responding to each inquiry as appropriate.
- Keep track of meetings (client, contact, friend, and colleague) noting/communicating when the next meeting is to occur or next deadline is due.
- Travel coordination including air, hotel and ground transport within Mercer and MMC policy guidelines and to Executive preferences
- Expense reconciliation
- General office administration including stationery and maintenance requests
**_ Administrative activities: _**
- Project coordination for projects owned by the two Executives
- Create and format powerpoint and word documents for an executive audience
- Data entry and report running
- Collaboration with team members and Executive Assistants on shared projects/special events, where roles may overlap or shift in the course of time
- Knowledge sharing with team members and Executive Assistants as appropriate to create efficiencies in processes that are beneficial to all.
- Act as a point person for areas of specialised knowledge.
**We would like you to have**:
- Undergraduate degree or equivalent preferred
- At least 8 years’ experience - prior reporting to an Executive Director highly advantageous
- Experience managing multiple high priority projects with varying deadlines
- Excellent verbal and written communication skills
- Demonstrated stakeholder management capabilities
- Comfortable working in a collaborative culture with strong internal and external relationships
- Strong team player
- Initiative and enthusiasm with the ability to learn new tasks quickly.
