About the Opportunity

Coordinate the distribution, tracking and flow of briefings and correspondence for the approval of the Deputy Director-General, Infrastructure Services Division and senior executives of the department, and meet competing timelines.
Examine incoming correspondence, briefing materials, information requests and reports to determine necessary actions and priorities and, where appropriate, prepare responses and template documents for consideration.

About the Role

The Correspondence Officer will have responsibility for the following:
Coordinate the distribution, tracking and flow of briefings and correspondence for the approval of senior executives of Infrastructure Services Division and the department, and meet competing timelines.
Provide support to work units in the preparation, review and editing of Ministerial and departmental correspondence, briefs, reports, submissions and other documents to align with departmental guidelines and frameworks.
Assist in the preparation and processing of responses to sensitive and confidential correspondence and media enquiries directed to Infrastructure Services Division.
Ensure that briefings and correspondence are prepared in accordance with the department's Style Guide and Ministerial and Executive Services Guidelines.

About You

Demonstrated ability to analyse issues, establish a course of action, adopt a proactive and solution-focussed approach and work with minimum direction.
Demonstrated sound interpersonal and negotiation skills, including a capacity to resolve issues and manage relationships with colleagues, clients and stakeholders in specific or inflexible timeframes.
Demonstrated ability to work both autonomously and as a member of a team, including the ability to establish work priorities and meet pre-determined deadlines and commitments.
Demonstrated ability to use effective written and verbal communication, including the ability to liaise and consult with internal and external stakeholders regarding sensitive and confidential matters, and maintain effective working relationships in a high-pressure environment.
