Our client is a successful privately owned financial consultancy business that provide a range of financial advice and services to high-net wealth clients from property advocacy, superannuation investments, taxation and accounting services.
They are now seeking to employ an experienced Reception and Administration Assistant who is keen to join a supportive team and become a pivotal part of the efficient running of the business on a daily basis.
Your key responsibilities will include:
- Meet and greet clients/guests when they arrive and show them to relevant meeting rooms
- Answer incoming calls and direct queries to staff members or take messages
- Open and distribute mail to staff daily
- Provide tea/coffee/water for meetings as directed
- Arrange catering needs for meetings when required
- Maintain the kitchen to ensure it is clean and tidy throughout the day
- Data entry of client information into CRM system (training will be provided)
- Scan documents and client files onto system as per document management guidelines
- Monthly stock take of stationary supplies and ordering as required
- Assist business units in scanning redundant files
- Confirm all meetings a day prior to bookings
- Ensure all contact information is registered in both CRM and Law Plan database for new prospects
- Adhoc administration support to business units and senior management when required
- Collate, save and distribute daily newspaper articles to relevant business units
- Manage and maintain archiving register and Deed register
- Any other adhoc administrative requirements as directed by management
- Word processing as required on MS Office - Word (mail mergers), Excel (basic). Outlook experience essential
This is a great opportunity for an individual seeking to work in a professional corporate environment, with a fun and supportive team. You must have previously been employed in a similar role and have strong general administrative skills. Professional presentation, strong attention to detail and intermediate knowledge of MS Office is also essential.
