**What this role involves**
This role is responsible for maintaining and managing the dissemination of highly confidential communications and are delegated significant authority to act autonomously and independently with regards to their core duties, mentorship of the Administration team, and unique projects.
The primary responsibilities include strategic, complex calendar gatekeeping based on a deep understanding of key priorities and objectives of the Executive Leadership Team (ELT) with sound structured cadence of the Executive’s calendar to support long-term business objectives and the ability to strategise and implement processes to optimise their Executive’s time.
Additionally, you will also be responsible for the following (but not limited to):
- Attend meetings, assist, or own the agenda, and partner with leaders to ensure follow-through on action items
- Plan and manage complex travel schedules
- Collaborate across the Administration Function and other internal/external stakeholders to manage meetings with multiple stakeholders and/or ELT presence
- Lead full lifecycle project management for the Administration Function and, alongside the Director, Administration and Support, assist the with ELT-level and business unit initiatives including setting and enforcing project timelines, and mitigating risks, and holding team accountable to deliverables
- Support active management of budget, purchase order processing, and expense report submission for ELT, and ensure expense policy compliance across the teams
- Lead and organise key business rhythms including quarterly All Hands meetings, meeting logistics, location planning and support for quarterly ELT meetings and offsites, and other high-level meetings
- Send both internal and external correspondence on behalf of the Executive group, with their endorsement
- Coordinate and communicate extensively with key executive-level and c-suite external customers, including CEOs of ASX Top 50 companies
- Build out an external Executive Assistant network/events campaign for CyberCX customers
- Mentor a high performing region-based Administration team to enable learning, development, and capability uplift. Understand team member’s skills, drivers, and aspirations. Work with them on their ongoing development, raise capability, and build a career path and progression plan
- Enhance team’s effectiveness by taking ownership of team issues and goals. Create a culture of empowerment, collaboration, and accountability through consistent employee engagement
- Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in communicating information and working with all levels of employees

What we’re looking for:
- Minimum 10+ years’ senior leader support experience with C-level support experience
- Minimum 8 years’ experience supporting senior leaders in a global enterprise business
- Proven ability to understand business priorities to manage complex executive calendars independently and successfully
- Ability to manage executives’ workflow and implement processes and systems to help optimise for efficiency
- Exceptional stakeholder engagement and communication skills with an ability to build credibility with senior leaders and internal working teams
- Experience leading a high performing team of administrators, EAs or office staff
- The ability to build a shared understanding of, and commitment to, CyberCX’s purpose, values and agreed processes and practice Strong strategic prioritisation, planning, organisational and time management skills
