This investment firm provides services across agriculture, real estate and venture capital to a wide range of established and start up clients. They are a recognized name in global investment and have a reputation in commercial real-estate and property development. Their small, yet growing company is made up of investment professionals from a variety of industry backgrounds, who pride themselves in their level of expertise.
About the Role
The Executive Assistant will be responsible for providing high level support to the CEO of the organization and some other senior investment stakeholders as needed. The role will incorporate primarily executive and office elements with some aspects of personal assistance. The purpose of which is to increase productivity and efficiency of the overall business.
**Key responsibilities include**:
- Greet all guests to the office, including potential investors.
- Leverage CEO's (and his investment team's) time to ensure a focus on achieving key goals as determined and analyse their calendars to ensure efficient time management.
- Arrange any necessary travel for business stakeholders
- Complete any outstanding Office administration task sand supporting other staff members in this capacity.
- Ensuring the stakeholders are prepared for all engagements, meetings, and necessary deadlines
- Maintain senior executive management diaries including monitoring and managing the urgency and appropriate diversion of incoming correspondence.
- Assist in any office management task including facilitating supplies and systems as well as maintaining general office cleanliness.
- Prioritize and manage multiple tasks in a high-tempo environment and maintain composure under pressure.
- Manage incoming office communications and forwarding accordingly.
- Create and maintain files and documents in accordance with records management procedures
- Organising appointments as required including coordinating meetings.
- Organising and preparing all necessary documents/presentations for meetings, distribute agendas, invites, ensure meeting rooms are reserved with appropriate catering
**About You**
- 5+ Years’ experience in an Executive Assistant role, ideally reporting to a senior leader.
- Friendly and personable nature, including exceptional communication ability.
- Demonstrated experience and expertise in providing high level executive and administrative support.
- Demonstrated high level computer skills including Microsoft Word, Excel, and PowerPoint
- Experience supporting senior executives and calendar management.
- Attention to detail in all activities
- Solid organizational and time management skills especially whilst dealing with competing demands.
- Professional and personable approach and ability to build strong working relationships
