**About the Faculty of Engineering and Information Technology**

**About the Role**
The Executive Assistant will provide quality executive administrative support to the Head of School - Electrical, Mechanical & Infrastructure Engineering (HoS - EMI) and Head of Infrastructure - (HoI) in the Faculty of Engineering and Information Technology. This multi-tasking and challenging role involves diverse duties and will require excellent interpersonal communication, organisational and time management skills.

As part of the Office of the Dean’s administrative team and reporting to the Faculty Executive Director or their delegate, the Executive Assistant will undertake a broad range of activities across two principal portfolios, the Office of the Head of School for EMI and the faculty infrastructure & WHS department, as well as providing functional support to Faculty committees as required.

Responsibilities include:

- Provide exceptional administrative support to ensure the effective and orderly day-to-day running of the Office.
- Executive support services to both the HoS EMI and the HoI, from diary and event management, correspondence to drafting documents, updating databases and systems, expense and finance reconciliation, coordinating communications and acting as the first point of contact for stakeholders engaging with them.
- Organise travel arrangements, conference and event attendance including bookings, itineraries and diaries.

**About You**
You will have previous experience in Executive and/or Administrative Assistant role to a senior executive and excellent written communication skills and highly developed interpersonal and verbal communication skills with the ability to liaise and work effectively with a range of people across all levels of the organisation. You will have the ability to collaboratively work positively in a busy environment, displaying initiative to achieve specified goals with changing priorities and tight deadlines, and contribute effectively as part of a team.

You will also have:

- Demonstrated ability to exercise judgement, maintain a high level of discretion, confidentiality and initiative at all times.
- Strong attention to detail and an ability to review and monitor information, including financial reports, to ensure proper records are being maintained accurately.
- To ensure the University continues to provide a safe environment for everyone, this position requires the incumbent to hold a current and valid Working with Children Check._
