ADE Consulting Group is an established environmental, geotechnical, health and safety services consultancy offering expertise in a broad range of engineering and consulting services. We are currently experiencing an exciting period of growth and change. As part of this growth, we are looking to expand the range of services we offer to our clients, and we are seeking an exceptional and experienced Project Administrator to join our Victorian team.

Reporting to the Regional General Manager and working with the State Discipline Leaders and project delivery team, this position is permanent full time, operating from our head office in Port Melbourne.

**Key Purpose and Function**:

- Responsible for project coordination and administration.
- Support the execution of multiple projects from contract to completion and coordination of new projects under development.
- Provide assistance to Finance as required around billing and debt collection.
- Assist the project managers with administrative functions and processes, and day-to-day activities including proposal preparation, project delivery and project closure.
- Establish and maintain positive relationships and ongoing communications with all relevant stakeholders including customers, internal team members, trades and vendors.
- Ensure documentation is maintained throughout the length of the project lifecycle.
- Issue purchase orders, maintain their status and shipping tracking information for multiple projects.
- Communicate plans, actions, risks, and issues with key stakeholders.

**Knowledge & Skills**:

- 2+ years of experience as a Project Administrator in environmental, construction or engineering projects
- Working knowledge of **Deltek** on a large commercial scale is highly advantageous.
- Self-starter, highly organised, resourceful, and comfortable working in an agile environment.
- Excellent written and verbal communication skills with strong commercial business acumen to proactively engage with key stakeholders.
- Detail-oriented with a strong sense of personal responsibility and ownership of work products.
- High degree of effectiveness working in a collaborative and open culture of cross-functional teams.
- Proficient in MS Office suite, data management, and reporting.

**Other Abilities**:

- Strong communication, presentation, and negotiation skills.
- Ability to develop and maintain strong relationships with external vendors.
- Ability to simply summarise, manage, and solve issues and report to relevant stakeholders.
- Ability to effectively coordinate and handle, under pressure, multiple tasks with a high degree of independence and professional judgment to meet or exceed project key performance indicators.
- Ability to prioritise tasks and juggle competing deadlines effectively.
- Understanding of all aspects of the project, including procurement, and schedule to achieve project success an advantage.
- Demonstrated ability to read, interpret, and manage contractual documents, specifications, bids, and recommend changes or additions.
- Experience working with clients in a rapidly evolving environment and developing creative solutions to meet conflicting needs.
