We are currently experiencing an exciting period of growth and change as we focus on our national business approach. As part of this growth, we are consolidating our project management systems and processes nationally, to better service a wide range of clients, sectors and industries in environment, geotechnical engineering and health and safety consulting. Reporting to the Regional General Manager in Victoria, and working closely with key stakeholders within the business, this position is a permanent full time role, operating from our Port Melbourne office. **Key Purpose and Function**: - Responsible for leadership and oversight of interstate discipline based PMA’s (as well as owning Victoria PMA responsibilities working across disciplines). - Support the administrative functions throughout the project cycle including project identification, tendering, project set up, project inductions, project commencement, implementation and completion. - Work with Project Managers and Finance as required around billing and debt collection, and other project management requirements. - Establish and maintain positive relationships and ongoing communications with all relevant stakeholders including customers, internal team members, trades and vendors. - Ensure documentation is maintained throughout the length of the project lifecycle. - Issue purchase orders, maintain their status and shipping tracking information for multiple projects. - Communicate plans, actions, risks, and issues with key stakeholders. **Knowledge & Skills**: - Self-starter, highly organised, resourceful, and comfortable working in a complex and agile environment. - Strong communicator, capable of building respectful working relationships to ensure the calendar of workflow processes is maintained. - 5+ years of experience as a Project Administrator in environmental, construction or engineering projects - Working knowledge of Deltek (or similar project and quality management platform) on a large commercial scale is highly advantageous. - High degree of effectiveness working in a collaborative and open culture of cross-functional teams. - Detail-oriented with a strong sense of personal responsibility and ownership of work products. - High degree of effectiveness working in a collaborative and open culture of cross-functional teams. - Working knowledge of project induction platforms is desirable - Excellent written and verbal communication skills with strong commercial business acumen to proactively engage with key stakeholders. - Proficient in MS Office suite, data management, and reporting. - Capable of auditing projects to ensure filing and documentation is appropriately managed **Other Abilities**: - Strong communication, presentation, and negotiation skills. - Ability to develop and maintain strong relationships with external and internal stakeholders. - Ability to simply summarise, manage, and solve issues and report to relevant stakeholders. - Ability to effectively coordinate and handle, under pressure, multiple tasks with a high degree of independence and professional judgment to meet or exceed project key performance indicators. - Ability to prioritise tasks and juggle competing deadlines effectively. - Understanding of all aspects of the project, including procurement, and schedule to achieve project success an advantage. - Demonstrated ability to read, interpret, and manage contractual documents, specifications, bids, and recommend changes or additions. - Experience working with clients in a rapidly evolving environment and developing creative solutions to meet conflicting needs. **You will also**: - Be customer service focused - Be punctual and reliable, have a positive "can-do" attitude and work ethic, are flexible and adaptable, and you work well independently and as part of a team **What’s in it for you?** - Competitive salary - Port Melbourne location - Social events in the office - Staff referral program - Annual Performance reviews/Remuneration reviews - WFH Program upon agreement - Bonus opportunities - No agencies at this time._
