**How will I help?**
An exciting new role working closely with the Chief Transformation Officer in the recently established Chief Transformation Office (CTO) business unit within the Corporate Services division.
This role exists to support the Chief Transformation Officer by providing efficient and effective coordination of all office functions including diary management, forward planning, all administration processes, as well as general support to the leadership team in coordinating activities and recruitment. You will enjoy operating in a fast-paced environment, be able to work autonomously and as part of a team, liaising with a multitude of stakeholders across the broader Westpac Group, and consistently delivering.
Responsibilities include, but not limited to:
- Diary management for the Chief Transformation Officer, including coordination of all meetings/conferences and preparation of agendas and documents.
- Coordination of leadership team key meetings, including the preparation of agendas and assistance with presentation material
- Ensure all material required for meetings is collated in day folders on a timely basis
- Prompt handling of internal and external stakeholder requests
- Provide support to the Business Manager including communication management, running reports, leave management tracking, and other key deliverables as required.
- Maintaining a strong network with other EAs and stakeholders
- Reconciling and processing all accounts in a timely and compliant manner, including invoice approvals, purchase orders/requisitions, P-cards and other charges
- Approval (as delegated on behalf of the Chief Transformation Officer) for WEAPS staff reimbursements, technology requests in IT Store, SRM, Optus), PeopleHQ leave approval, and eAcademy Learning requests.
- Update and maintain the team organisational charts and distribution lists, ensuring these are accurately reflected in the People Directory.
- Property/workpoint co-ordination
- Business Continuity Management key contact
- Ensure target team culture is reflected, as a key representative of the Chief Transformation Officer
- General day to day office management support for the Chief Transformation Officer and leadership team
- Build relationships across the Westpac Group, to drive the CS CTO business unit’s priorities

**What do I need?**
**Knowledge, Qualifications & Experience**
- Previous experience working as an Executive Assistant
- Prior experience in the financial services industry and/or project management would be beneficial
- Advanced PC literacy (MS Office: Word, PowerPoint, Excel, Teams, Nitro; Yammer)
- Excellent oral and written communication skills
- Excellent diary management and strong attention to detail
- Ability to work autonomously and as part of a team, liaising with all levels of the business and our customers, building strong working relationships at all levels
- Adaptability and flexibility
- A working style that is approachable, professional, team oriented, with the ability to handle pressure
- Strong planning and organisational skills and the ability to manage multiple tasks at any given time
