About the role
We're not just about removing - we're building, we're connecting, we're revitalising, the Level Crossing Removal Project are busier than ever. As such, we need an Administration Assistant to join our Business Strategy team
Reporting to the Senior Executive Assistant to the CEO, you will provide admin support to the Office of the CEO, Director of Business Strategy and Director of Research and Innovation.
On a day-to-day basis you will be building and managing productive relationships with internal and external stakeholders, as well as:

- Undertake a broad range of administrative tasks including preparing documents and reports, preparing complex meeting agendas, minuting meetings, and scheduling in multiple stakeholders to attend a range of workshops and meetings.
- Organise, schedule and set-up meetings, briefings, and presentations as necessary, including the preparation of materials and equipment when required (internal and external).
- Manage and maintain local records and document management databases and assist team members with electronic records management.
- Assist in maintaining the digital signing platform with tasks including training new users, updating user guides, and responding to stakeholder queries.
- Understand and support the Senior Executive Assistant such that you can assume the duties of the Senior Executive Assistant in their absence.

The Administration Assistant position is a 3-year fixed term contract, paying between $72,751 - $88,336 + super with a hybrid working arrangement. This includes a combination of working from home and the office in the CBD.

Let's get technical What will we expect from you?
- Demonstrated experience in administration in a fast-paced environment, involving a wide range of internal and external stakeholders, preferably in a government or infrastructure environment.
- Excellent written and verbal communication skills, with a proven ability to produce high quality written materials for a range of stakeholders.
- Demonstrated ability to use a broad range of computer software to undertake administrative tasks, particularly Microsoft Office, Outlook, OneNote, OneDrive, SharePoint, DocuSign, and Content Manager.
- An ability to recognise behaviours that promote a culture of inclusion and hold self and team accountable towards being inclusive to individuals from diverse background.
