**ABOUT THE ROLE**
Job Purpose The Project Administrator’s primary purpose is to provides support to the West Gate Tunnel leadership team. The Project Administrator is responsible for provision of the necessary administrative support to West Gate Tunnel project, and for liaison with other administration functions in the project.
**KEY RESPONSIBILITIES AND ACCOUNTABILITIES**
- Complete weekly and monthly reporting.
- Coordinate all administrative requirements of the team.
- Coordinate all aspects of meetings and schedules.
- General administration duties including word processing, stationary orders, photocopying, and travel coordination.
- Purchase Orders and Goods Receipting (SAP).
- Rail Industry Worker Card competency management.
- Process incoming, inter office and outgoing mail for the office.
- Provide support to managers to ensure all finance functions are closed out in a timely manner to allow month end processes to be completed.
- Assist with document control as required.
- Manage company cars including rego, bookings, servicing, repairs and cleaning.
- Coordinate and schedule compliance training requirements for project team members in line with project skills training matrix and management plans.
- Enter, monitor and maintain records for compliance Technical Competencies.
- Assist managers with HR processes including performance reviews, contract extensions and onboarding.
- Liaise with customers, suppliers, and general public, both internal and external.
- Act as point of contact for inquiries concerning Project Management.
- Provide administrative assistance to other areas within Project Management as required.
- Ensure compliance with all record keeping requirements.
- Undertake any adhoc projects, initiatives, tasks as direction by the Project Director
- Manage subcontractor onboarding process, vendor compliance.
- Assist the Project Director with drafting, registering and administering project subcontractor agreements
**QUALIFICATIONS AND EDUCATION REQUIREMENTS**
- At least 5 years’ experience in Administration with at least 3 years’ experience supporting senior management and large construction or infrastructure site-based administration support
- Any relevant tertiary qualification in related industry discipline preferred WORK EXPERIENCE
- Strong communication skills (oral & written) including strong negotiation and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally.
- Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast-paced environment with multiple and competing demands.
