**About - Faculty of Architecture, Building and Planning**
The Faculty of Architecture, Building and Planning is the leading educational and research institution in the Asia-Pacific region addressing the design and realisation of inhabited environments. It actively seeks to extend the linkages between education, research and practice in the built environment, and maintains excellent and extensive relationships with members of the built environment professions, government, professional associations and the wider community.
**About the Role**
The Executive Assistant provides a broad range of administrative, secretarial and executive support across the two main portfolios of the Deputy Dean (DD) and Faculty Executive Director (FED), ensuring smooth office operations through effective service delivery and a customer-centric approach to stakeholder support.
Working closely with staff across the Faculty, the Executive Assistant will develop a thorough understanding of the Faculty’s policies and procedures to enable seamless administrative support.
You will be required to display a level of discretion, independent judgement, and professionalism, regularly interacting stakeholders in a diplomatic manner, whilst dealing with confidential and sensitive matters and documentation.

Responsibilities include:
- Diary Management including forward planning and ensuring meetings and other commitments are scheduled in a timely manner and in a workable timeframe, anticipate likely needs and outcomes, and planning accordingly.
- Providing support and guidance to the DD and FED with the local processing of University business services activities including expenses, travel and purchase orders.
- Continued improvement and enhancement of established processes and procedures to coordinate the workflow of the DD and FED and act as the primary contact point for handling queries to a high degree of accuracy.
**About You**
You are resourceful and flexible with the ability to manage priorities through highly-developed organisational skills. You have exceptional interpersonal skills with the ability to form strong relationships with a diverse range of stakeholders and work effectively as part of a team. You are an excellent communicator with a high attention to detail and experienced in preparing formal correspondence and documentation such as briefings, agendas and minutes.
You will also have:
- Previous experience in Executive and/or Administrative Assistant role to a senior executive and /or multiple senior executives.
- A high degree of proficiency in computer skills including the use of Microsoft Office suite including Outlook, Word, PowerPoint and Excel, Zoom, Teams, Sharepoint and Trello.
