**About the opportunity**
We have an opportunity for an Office Administrator to join our team and play a key role in maintaining the smooth functioning of our organisation.
As an Office Administrator at Paradigm Engineers, you will be an integral part of our team, ensuring efficient office operations and providing vital administrative support to our engineering and management teams. Your exceptional organisational skills and attention to detail will help maintain a productive work environment and support the execution of engineering projects.
**Key responsibilities**
- Greet and assist visitors, clients, and employees with a warm and professional demeanour, creating a positive first impression of our company.
- Maintain and organise office supplies, equipment, and general office areas, ensuring a well-equipped and tidy workplace.
- Assist in managing internal databases, filing systems, and project documentation to ensure efficient data retrieval and record keeping.
- Handle financial administrative tasks, such as obtaining quotes, processing invoices, tracking expenses, and providing support for payroll and finance activities.
- Facilitate employee onboarding and maintain employee records.
- Coordinate office events and team-building activities.
- Support the management team with various ad-hoc tasks and projects to contribute to the overall success of the company.
- Provide administrative support to engineering project teams.
- Assist in the procurement process for project-related materials, equipment, and services.
- Facilitate the mobilisation of employees to Client sites - including organising medicals, inductions, flights, accommodation and car hire.
- Manage the maintenance activities for the office, including interfacing with the Building Manager and service providers.
**Skills & Qualifications**
- Strong organisational skills with the ability to handle multiple tasks and prioritise effectively.
- Excellent communication skills, both written and verbal, with an ability to interact with individuals at all levels.
- High attention to detail and accuracy in all tasks.
- Proficiency in using software such as Office 365 (Word, Excel, Outlook).
- Proven experience as an office administrator, project administrator, administrative assistant, or similar.
