About the opportunity
Reporting into the Client Services Manager, the Services Coordinator is responsible for delivering an efficient and seamless service to our clients. This includes understanding the client’s operational needs, meeting all timeframes, and ensuring a smooth running of all NGP Helpdesk and Minor Works tasks.
What you can expect
The main responsibilities will include:
- Maintaining and updating the Helpdesk schedule, ensuring the daily program is filled and NGP staff work schedules are maintained
- Understand each client’s requirements and the operational needs of each job / quote
- Understand and ensure information provided to the client and responding technician is sufficient, accurate, and consistent
- Prepare and submit detailed and ample scope of works and pricing to each client stakeholder in a timely manner
- Follow-up on quotes regularly with each client stakeholder, with an aim of gaining timely approval
- Organise site inspections and liaise with Site Managers, NGP teams, and/or subcontractors as needed
- Advise client of when job is scheduled and provide regular updates as needed
- Maintain concise notes relating to the approved works
- Coordinate and administer the completion of quoted and reactive works
- Follow up on open jobs to ensure works are completed within specified timeframes
- Advise client when works have been completed and provide detailed reports and photographs as required
- Maintain company database, logging all billable/unbillable hours daily
- Continual communication, both verbal and written, with key client stakeholders
- Weekly reporting on open work orders, in progress quotes, and forecasted invoicing

What you will bring
To be successful in this role you will be able to demonstrate:
- 2-5 years’ experience as a Service Coordinator, Customer Service Representative or Contracts Administration
- Industry experience is desirable but not essential
- Excellent communication skills, both written and verbal
- Attention to detail and accuracy
- Strong stakeholder management skills and resilience
- Neat and tidy professional appearance, meeting the company uniform standards
- Professional, reliable, and trustworthy behaviour and attitude, in line with our company culture
- Adaptable to change and company growth
- Customer-centric approach and ability to cultivate positive working relationships with key client stakeholders
**Job Types**: Full-time, Permanent
**Salary**: $60,000.00 - $75,000.00 per year
