Executive Assistant

We are seeking a proactive, efficient and experienced Executive Assistant to provide outstanding administrative support to the Chairman/CEO Office and executive team members.
- Roles and Responsibilities:_
- Required to attend board, management, and committee meetings to take concise, independent and unbiased minutes that records the key discussion items, decisions and actions from the meeting. This role will suit a motivated individual who can work autonomously, has a keen eye for detail and has a flexible and positive attitude.
- Work with the executive team, Boards and Board committees to prepare timely minutes that include all key decisions, discussion items and actions of the meetings.
- This role will be responsible for efficient schedule management, effective communications, and working with various internal and external stakeholders, to progress matters as required whilst managing competing priorities to enable the Chairman/CEO to focus on impactful strategic initiatives.
- Support internal and external meetings/ functions - invitations, setting up technology and catering etc and diary management.
- Provide back-up and general support to the Company Secretary function in Australia, the Philippines and USA, as required.
- Manage, coordinate, and arrange travel and travel-related activities (including visa, health checks, hotel bookings, transportation, meals and expense reconciliation).
- Ensuring tickets, itineraries and documentation are correct, diarised and delivered in line with critical dates and maintain knowledge of the guidelines and rules applicable to frequented travel destinations.
- Requirements_
- Degree in business, communications or other relevant discipline.
- Minimum of 5 years Executive Assistant experience and or minimum 2-4 years of demonstrated experience working with Board/Committees/Executive Team as a minute taker.
- Significant demonstrable experience in managing travel and related arrangements concurrently for multiple executives.
- Significant experience in drafting accurate meeting notes. Highly resourceful and resilient team player, with the ability to also be extremely effective independently.
- Behaves and communicates effectively in different social situations and with a variety of different people.
- Compares and ranks the relative importance &/or urgency of different tasks to identify the best order of actions.
- Advanced Microsoft Office skills (advanced PowerPoint, advanced Word, Intermediate Excel)
- Must have an ability to work flexible hours and be available during the hours that the Chairman/CEO is working.

**This is a full time on-site position.**
