**About the role**

This role is responsible for providing high quality, professional and confidential administrative and secretarial support to the Chief Legal, Risk & Governance Officer / Company Secretary, the Head of Company Secretariat and Governance and the Board of Directors. This position will work as a team with the Executive Assistants to the CEO, Chairman and Chief’s of other Divisions.

This role is based in our CBH Head Office.

**Key accountabilities of the role include**:

- Provide high quality, professional and confidential administrative and secretarial support to the Chief, including diary management, screening telephone calls, routine correspondence and maintenance of documentation.
- Provide high quality, professional and confidential administrative and secretarial support to the Board and individual Directors, and to support to the Head of Company Secretariat and Governance.
- Prepare confidential communications, reports, and correspondence on behalf of the Chief.
- Co-ordinate Board and Committee meeting days, prepare high quality presentations, collation of all agendas and associated papers, and an accurate typing of minutes.
- Handle enquiries and manage information flow between employees, business and stakeholders.
- Upload and publish all Board and Committee papers to the Diligent Board Portal, and act as lead contact for portal.
- Review monthly budget reports, monitor and analyse performance against budget and assist with annual budget preparation.
- Organise travel, visas and accommodation for the Chief and broader Legal & Risk team and Board of Directors.
- Event and function coordination.
- Purchase requisitions, invoice and credit card expense processing.
- General office management duties including organising and coordinating office operations and procedures.

**What you will bring to the role**:

- Minimum of 5 years’ experience in an Executive Assistant role at an executive level, preferably with legal, company secretarial and board paper preparation experience
- Proficient with Microsoft office suite, with advanced skills in Microsoft Word
- Ability to administer, maintain and manage Board portal
- High level of confidentiality and sensitive information integrity
- Demonstrates strong attention to detail
- Ability to co-ordinate and manage travel
- Manage and prioritise multiple tasks maintaining a professional manner
- Ability to work autonomously as well as being part of a team
- Collaborative approach with stakeholders
- Excellent written, oral communication and interpersonal skills with ability to network across all levels and establish relationships with key internal and external stakeholders
- Preparation and processing of accounts using SAP
- Strong organisational skills
- Excellent time management and planning skills
- Sense of urgency, ‘can do’ attitude and flexible approach
- 60 words per minute typing speed and 95% accuracy
