The opportunity
We are looking for an Executive Assistant based in our Belrose office, reporting directly to the Senior Executive Assistant. We seek an individual capable of operating independently within a dynamic, rapidly evolving organization to offer administrative support to the Senior Executive Team.
The role entails managing confidential data, managing conflicting deadlines and priorities, working efficiently with meticulous attention to detail, and anticipating the needs of the executive team.
**Key Responsibilities**:
Complex diary management across multiple diaries
Travel organisation (flights, travel, car, accommodation) both domestic and internationally
Expense processing in Promaster
Purchase order raising and processing in SAP
Coordinating legal document signing and delivery
Arranging meetings, catering and ensure meeting rooms are set for purpose
Presentation support - document preparation, compilation, proofreading, printing, binding
Meeting minutes/action items as required
Collation of monthly reports
Anticipate executive requirements to ensure effective leverage of their time
General business for the Executive Team as required

**Experience required**:
Proficient in MS Office - Word, PowerPoint, Excel
Exceptional time and deadline management skills
Highly developed administrative and communication skills
Ability to handle issues of great sensitivity and commercial confidentiality
Professional manner under pressure
Desirable
3-5 years’ experience as an administrative assistant
Experience with SAP system
