**How will I help?**
The Westpac Institutional Bank’s Financial Markets business is searching for an Executive Assistant with a versatile skill set to support the Managing Director of Institutional Sales and the Managing Director of DCM, Syndicate & Solutions.
In addition to a range of Executive Assistant activities, including forward planning, recruiting, administration, and relationship management across internal and external business partners, your role will contribute to broader strategic aims. You will act as the central point of contact for team members across the wider business unit, as well as working with the Business Manager to coordinate key leadership team meetings, including the preparation of agendas and presentation material, and collate documents/packs to support daily meetings.
Crucially, you will have the ability to influence senior stakeholders and solve complex problems, working to support your senior leaders and the broader FM strategy through developing a strong understanding of the business and the support levels required by each MD.
Other key responsibilities:
- Collation of documents/packs to support meetings on a daily basis
- Researching and compiling briefing notes on matters of relevance to the MDs.
- Prompt handling of internal and external stakeholder requests
- Effective triaging of enquiries and the ability to compose high quality correspondence in the style of each MD.
- Identifying opportunities for process simplification to continue to improve the operation of the business support functions within Financial Markets.
- General administrative duties, including developing and providing reporting to the MDs, managing learning requirements and compliance with mandatory training, supporting recruitment activity and navigating the PeopleHQ platform to complete HR tasks.

**What do I need?**
To be considered, you will be an experienced Executive Assistant within a complex corporate environment. You will have experience either supporting multiple executives or be able to demonstrate strong prioritisation and decision-making skills and advanced relationship management skills. You will be highly motivated, with excellent problem solving and strategic capabilities. Previous experience within the banking and/or financial services industry, particularly financial markets will be advantageous. You will have the ability to manage multiple priorities under pressure in a fast-paced environment, as well as excellent stakeholder management skills. EAs that are approaching Level 4 on the Global Skills Matrix published by the World Administrators Alliance will be well regarded.
In addition, you will bring:
- Exceptional written and verbal communication skills,
- Demonstrated influencing and negotiating skills, and keen attention to detail
- Advanced organisational and time management skills, including diary management
- Self-starter with a proactive, accountable approach and ability to execute responsibilities with professionalism
- Competency in the full Microsoft Office suite, including Outlook, Teams, Word, PowerPoint and Excel
