Description of Role

The Events Lead position will report to the Marketing Strategy Manager at AMSL/NZMS and work closely day to day with the Marketing Services Manager, Marketing and Events Teams for NZMS/AMSL. The role has been developed to support the marketing department to meet event objectives. Within this role, the Events Lead will oversee and supervise the events and stock requests team of 3 (with one additional temp and other support across New Zealand) day to day, and work as a senior member of the events team.

Key Responsibilities/Essential Duties

**Events & Conferences**

Help manage both local and national events and conferences for AMSL and NZMS. The role will, with the support of the events team:

- Manage all events as assigned and lead the events and stock requests unit within the marketing department
- This involves supervising 3 events team members including but not limited to delegating events and related tasks amongst the team, reviewing created collateral and supporting the team to achieve overall business event goals
- Liaise with Division Managers, Sales Managers, Territory Manager and Marketing Management Team to find out event requirements
- Research venues, suppliers and contractors and be able to negotiate and secure prices and enquire for competitive quotes
- Manage and coordinate suppliers and all event logistics with guidance of Marketing Management Team
- Manage all pre-event planning e.g. organising guest speakers, delegates, symposia etc. as necessary
- Managing invitation set up process
- Coordinate and communicate with suppliers, handle client queries and troubleshoot on the day of the event if required and make sure that all runs smoothly and to budget
- Make sure that insurance, legal, health and safety obligations are followed as required
- Oversee the building, dismantling and removal of the event stand and clear the venue efficiently (if required)
- Research opportunities for AMSL/NZMS regarding new event sites to make sure we are staying within overall event budget per division
- Act as the liaison AMSL and NZMS (where required) representative for the company with regards to national/major events and manage/reply to all enquiries
- Liaise with Marketing Management or Division Managers as necessary for guidance on all events
- Organise facilities for car parking, catering, audio-visual requirements, accommodation and travel as required (liaise with travel team or hotels directly for group bookings)
- Ensure all general stock requests and those for events, including but not limited to marketing collateral, certificates for attendees (if required), post-event evaluation forms and name tags (if required) are processed and managed by events team
- Help develop (alongside the Marketing Management Team) processes and checklists to follow regarding all events
- Liaise with marketing team to make sure all marketing requirements are met and organised for each event (e.g. graphic design, agenda’s, invitations etc.)
- Attend trade shows or events as required (may include outside hours, including but not exclusive to evenings, weekends and travelling interstate on occasion)
- Attend local consumer and HCP events to increase market knowledge as required (may include weekends and travelling interstate on occasion)
- Record event expenditure for all events at AMSL and NZMS as required via budget spreadsheets and organise reports for the Marketing Management Team
- Use Survey Monkey as required to save all pre-event proposals and post-event evaluation forms in the p drive and gain approval for new pre-event proposals for the territory manager events
- Use Eventbrite to collate RSVPs for territory managers
- Present on key event metrics and help optimise the department
- Run reports on events for evaluation purposes

**Stock Requests**

Manage the stock requests process and function to ensure all stock requests for promotional material and samples are sent to territory managers and healthcare professionals in a timely manner:

- Learn and use the marketing printer to print/cut/fold all marketing materials as required (backup support if required)
