Our client has over 20 years of experience in manufacturing products for the Australian construction industry, involved in unique building of homes and commercial buildings. An exciting position has become available for a highly driven administrator who is seeking a new challenge, this role is a permanent employment, seeking an immediate start
**Your new role**
The Project Administrator is responsible for managing multiple projects for a customer brand or a group of customers/brands from project start through to site, including after delivery support. Reporting to the Team Leader, you will be responsible for but not limited to:
- Administration including, processing estimates, customer purchase orders, entering budgets and monitoring activities for the project.
- Understanding plans, framing drawings, customer specifications to ensure a smooth delivery to site.
- Processing factory lists, placing orders with external vendors and creating production orders.
- Managing open purchase orders, backorders, overdue orders and receipting goods where applicable.
- Prioritise and schedule projects for fabrication and site installation in accordance with client schedules; business capabilities and operational demand, including creating purchase orders for delivery and on site trades.
- Manage issues created by on site trades or supervisors and creating ‘Extra to site’ orders to complete the job, processing back charge claims, through to identifying and logging issue causes for reporting purposes.
- Working with relevant business team members to understand and facilitate resolution of customers and stakeholders concerns or queries.
- Ensuring customers and stakeholders are kept up to date and informed of the status of their project or query on a regular basis and communicating outcomes to them in a manner that enhances the relationship.
- Capturing all relevant communication, progress updates and notes to enable transparency and reporting.
- Proactively identifying issue trends and alerting key stakeholders to allow pre-emptive resolution and participate in continuous improvement initiatives.
- Establishing a strong relationship with key stakeholders at all levels to enable collaborative improvements to the customer experience and issue resolution process.
- Action and/or implement any reasonable directions of Management
- Providing support to the business including but not limited to; ordering stationary, groceries, items for business functions and general reception duties.
**What you'll need to succeed**
Our client will provide full training for the successful applicant, however to be shortlisted you'll need the following experience:
- A positive, proactive, and collaborative ‘can do’ attitude
- A genuine curiosity and focus on how to improve the customer experience with strong issue resolution skills
- Problem solving skills and the ability to identify trends, patterns, and possible solutions to issues
- Demonstrating a commitment to creating and achieving business goals and KPI’s as negotiated with line manager.
- Ability to prioritise, handle multiple tasks and adhere to strict deadlines.
- Be an efficient and effective communicator, with the ability to engage with stakeholders on all levels.
- Demonstrated experience utilising initiative, problem solving skills to drive continuous improvement.
- Strong customer service focus with high-level attention to detail.
- Knowledge of Microsoft Dynamics 365 Finance and Operations (highly desirable).
- Experience within building and construction industry (highly desirable).
- Intermediate to advanced Microsoft Office Skills.
