**Position Overview**
The Executive Assistant provides expert administration services and support to the Chief Executive Officer and the Leadership team. Superior administration combined with expert written and verbal communication skills underpin your service excellence. You are empathic, systematic, analytical and build effective relationships. You are a role model of our values and are discerning in your approach.
**Key Responsibilities**
**The responsibilities include, but are not limited to**:
- CEO and COO complete diary management
- Facilitate the operating rhythm of the Leadership Team and other business forums, particularly in the current work from home environment to maintain a sense of stability, consistency, and team
- Act as the first line of enquiry and liaison between external providers and the leadership and take appropriate action to ensure the smooth running of the CEO’s and COO’s offices
- Coordinate requests and compile information from internal and external stakeholders and ensure CEO and/or COO have a final pack for review.
- Arrange all travel, agendas, and relevant information packs to ensure travel objectives are met
- Reconcile CEO and COO expenditure and budgets
- Organise, coordinate Board meetings, and prepare board packs as required
- Minute taking and action coordination and follow up as required
- Coordinate, draft, and collate project reporting Work within UFC’s Code of Conduct, policies and procedures of the Quality Management System.
- Work closely with CEO/COO to identify future industry trends, conduct relevant research and prepare recommendations for new opportunities
- Take new project ideas and develop them into tangible projects, engaging relevant stakeholders across the business to drive them to successful implementation
**Position Description**
- Build and develop relationships with all employees for increased efficiency and effective response into existing business operations, and assist relevant stakeholders to define new operational strategies, working with CEO and executives on special projects.
- Assist new hires with documentation and onboarding and collaborate with Human Resources to address employee concerns in Head Office.
**Qualifications and Experience**
**As a professional working in Administration, you will have you will have the following demonstrated expertise**:
- Excellent written and verbal communication skills, with attention to detail
- Advanced proficiency with Microsoft suite
- Ability to work under pressure and meet deadlines while maintaining an excellent customer focus.
- Be confident, use initiative and have excellent time and project management skills
- High EQ and ability to build strong relationships with internal and external stakeholders;
- Ability to make sound judgements and quick decisions
- Experience working with NDIS is an advantage but not essential
