**Position Purpose Statement**

Reporting to the General Manager Passenger Experience, the Personal Assistant will provide the strong administrative and operational support to ensure the Passenger Experience Division is highly functional and responsive.

The Personal Assistant needs to constructively work with the General Manager Passenger Experience, team members within Passenger Experience, MTM Executive members, other MTM departments and external stakeholders.

**About the Role**

Some of the duties and responsibilities include but not limited to:

- Assist with preparation, formatting and distribution of agenda and associated papers for MTM Executive meetings, stakeholder meetings, and various meetings
- Prepare and edit correspondence, communications, presentations, reports, and other documentations
- Manage incoming and outgoing communication ensuring it is responsive, welcoming and effective
- Oversee purchasing, invoicing, reimbursements and record keeping, and work with the GM Passenger Experience to monitor and manage annual budget
- Research, collect and analyse data and other information to prepare reports and documents
- Establish and implement organisational systems and processes to ensure a smooth running and efficient office including maintaining electronic and where required, manual files and keeping records up to date, secure and accessible
- Support the development, implementation, review and improvement of organisational policies, procedures and processes

**About You**:

- To be successful in this role, you will need to meet the following key criteria:

- Relevant qualification in Business Administration or extensive experience in a similar role
- Proven capacity to produce high quality reports and documents in a timely manner for internal, external and Board purposes
- Experience in financial management such as purchasing, invoicing and reimbursements and budget management
- Successful experience managing a dynamic, rapidly changing office and providing high-level administrative support
