**The Opportunity**:
A fantastic opportunity has arisen for a passionate Team Administrator to join Urbis heritage team and become an integral part of our close-knit, high performing Heritage team.
We are looking for a proactive self-starter, with the right combination of talent, energy and a commitment to excellence, to provide high quality support to our dynamic and collaborative market leading national Heritage team. You will have the opportunity to support our team members and seek to add value with new ideas and initiatives to benefit your team.
Some of the key projects the heritage team have collaborated on recently include the Intercontinental Hotel, the Lands and Education Buildings, AMP Quay Quarter, Sydney Opera house, Victoria Barracks, Millers Point properties and the Butterfly Room at the State Theatre.

**You will**:

- Act as a staff and client interface through fielding and responding to calls, coordinating appointments and providing assistance to clients where appropriate.
- Provide support to Directors and Project Managers including diary management, travel arrangements, coordination of client meetings and wider project initiatives.
- Provide general administrative support to a team including (but not limited to) report formatting, preparation of presentations, co-ordination of team marketing activities, events and resources, printing, binding and collation of tender documentation;
- Provide project coordination and utilisation of Business Management system to support the team
- Enter disbursements into the Urbis Practice Management System.
- Set up new assignments in the Urbis Practice Management System and ensuring relevant Terms of Agreement and Sub-Consultants agreements are obtained.
- Create and distribute a high volume of invoices as a part of the monthly billing process
- Create relevant expense reports on behalf of Director's, including reconciliation and entry of expense items.
- Oversee all filing requirements and maintenance, as well as general office administrative supports.

**About You**:
This position would suit someone who has a minimum of 2-3 years' experience in a similar role, supporting a number of leaders with a combination of the following competencies:

- Completion of a secretarial studies/business administration course and/or equivalent
- Intermediate to advanced level of experience using the Microsoft Office Suite, Word & PowerPoint.
- Attentive, attention to detail and lateral thinking is a must in this key position for the team.
- Clear, concise and confident communicator, and able to manage expectations and priorities of clients.
- Able to work in a decisive manner and handle competing demands and projects.
- Eagerness to contribute to administration and project coordination process improvement
- Project Coordination and invoicing experience is imperative
