**JOB DESCRIPTION**
As an Executive Assistant**_ _**in the CIB Payments team**_,_** you will be responsible for providing all support needs to two Executive Directors and their immediate teams across ‘Product’ and ‘Sales’. This can sometimes extend more broadly as required, including support for various events held across the year and covering for other Assistants’ leave periods.

Reporting into the Business Support Manager, you’ll be reliable and motivated, whilst demonstrating a high level of teamwork and flexibility, together with your strong problem-solving skills, confidentiality, and social awareness.

A friendly professional, you will be responsible for managing your stakeholders’ diaries and everyday needs, effectively and proactively prioritizing to ensure the team is able to seamlessly serve the needs of their clients. You will require mínimal direction whilst utilizing your strong attention to detail to navigate the support for the group.

You will be a strong communicator across both written and verbal, with an ability to work as part of a broader Executive Assistant population. You will be managing a multitude of responsibilities, people and timeframes, whilst being adept across systems, policies and procedures in what can be a fast-paced environment.

**Job responsibilities**
- Maintain detailed diaries across multiple time zones
- Liaise with internal and external stakeholders and manage the coordination and logistics of all meetings
- Screen incoming calls and determine the level of priority, while using caution in dispensing information
- Arrange and coordinate complicated domestic and international travel, whilst maintaining T&E policies
- Ability to manage events as they arise and work within the team to achieve positive results
- Handle regular activities without prompting, and advise in advance with issues or delays
- Work cooperatively with other Executive Assistants across the group, in positive partnership to support each other to work as a team.
- Lead and coordinate on ad hoc projects as requested.

**Required qualifications, capabilities and skills**
- Minimum 3 years working as an Executive Assistant, ideally within Banking or other Financial Service industries.
- A positive, engaged individual who owns their role and takes full responsibility for outcomes.
- Strategically minded to pre-empt and / or resolve issues
- Advanced ability to organize.
- Tact and good judgment in confidential situations.
- Effective interpersonal, written, and oral communication skills.
- Proficiency in Microsoft Office.
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management.
- Business/Secretarial College diploma or equivalent.
