**About the opportunity**

Based in our modern, state of the art Facility in Sunshine West the role of the Executive Assistant has a reporting line to the EGM, Network Operations and is expected to provide professional administrative support in line with requirement for a C suite leader.

The purpose of these positions is to provide high level administrative support and oversee the scheduling and diary management of the EGM Network Operations & their office. They will have a strong ability to adapt to changing business requirements, demonstrate commercial acumen and the ability to communicate and build strong relationships at various levels of the organisation.

**You’ll be responsible for**:

- Manage the administrative functions for the EGM including diary management, meeting / conference logistics.
- Building and establishing proactive relationships and networks with people across different locations, levels and department including EGM EAs
- Uses initiative to proactively identify opportunities for improvement, focusing on service, efficiency, and team improvement initiatives.
- Support the EGM in the preparation of conference presentations, EC and Board reports and papers (including formatting to requirements and distribution in required time-frames)
- Play a mentoring role to other SLT and EGM EAs providing guidance and support as required.
- Establishes and maintains team information (including financial), documentation and filing systems as required by the GMs and their direct reports and key team members.
- Effectively manages and prioritises competing requirements to ensure stakeholder expectations are consistently met or exceeded whilst always operating collaboratively and cooperatively.
- Provide advice and support implementation and administration of office policies and procedures.
- Deal professionally and discretely with confidential and sensitive information / matters.
- Other responsibilities/accountabilities as reasonably and appropriately directed by the EGM.

You are an industry professional with experience in large corporate / logistic organisations.

You will have highly developed interpersonal, written, and verbal communication skills with an ability to establish and maintain effective working relationships with all levels of management and staff within the organisation and externally.

- A ‘self-starter’ with ability to analyse issues and resolve problems often with limited supervision and information.
- Proven record in working under pressure, prioritising multiple tasks within tight time-frames and meeting deadlines.
- Demonstrated commitment to the provision of exceptional and quality customer service.
- Demonstrated ability to proactively identify process/system inefficiencies and provide a range of solutions.
- Highly developed interpersonal, written, and verbal communication skills demonstrating ability to develop and document procedures/reports, as well as provide reporting to relevant stakeholders.
- Adaptable and flexible with various styles of Board Members, Senior Executives, other EA’s and external stakeholders
- Professional qualifications in Business Administration
- Strong written and verbal communication skills with ability to communicate information concisely, accurately, and effectively.
- Excellent client service attitude, with a focus on providing a positive experience while maintaining the integrity of campaign and reporting.
- Excellent coordination and organisational skills
- Proficiency in Board Paper Digital Solutions i.e., Diligent (not essential)
