Project Support Role Overview

The Department of Transport and Planning seeks an administrator to provide comprehensive project support services in a fast-paced environment. This includes records management, document control, quality assurance support, report collation, and coordination of training.

About the Role
  • Provide high-quality business administration support to the Manager and External Works Delivery teams.
  • Manage the External Works Outlook shared mailbox.
  • Maintain relevant business/project management databases, asset lists, registers, and systems.
  • Organise project meetings, briefings, and presentations, including preparation and distribution of materials pre and post meeting.
  • Proactively maintain strong working relationships with consultants representing third-party customers and assist the Manager External Works in providing regular feedback with supporting documentation.
  • Assist the External Works team leaders with recruitment and new staff.
  • Support the Project Advice Team when their Support Officer is unavailable.
Key Responsibilities
  1. Administrative support to the Manager External Works and teams, assisting in the coordination of team deliverables.
  2. Maintenance of high-quality project records management systems and processes for the teams and maintained in line with DTP frameworks and guidelines.
  3. Coordination of office management tasks such as coordinating safety equipment, IT requests, travel support, and social activities.
  4. Collaborate with the External Works team to develop and implement project plans, budgets, and timelines.
  5. Communicate effectively with stakeholders, including internal and external parties.
