ISS Facility Management Pty Ltd is seeking dedicated and detail-oriented Receptionist/Concierge professionals for a Full-Time position. This role is integral to the delivery of comprehensive facility services within the vehicle manufacturing and distribution sector. The successful candidate will operate from a designated site in Queensland, with shifts available from 7am-3pm or 9am-5pm, Monday to Friday. Flexibility in availability for both shifts is highly preferred.

The primary focus of the Concierge position is to manage a variety of customer service and administrative responsibilities, ensuring a welcoming environment for all suppliers, employees, contractors, and visitors at the corporate office.

Key Responsibilities:

  • Handle incoming and outgoing communications, maintaining updated internal contact directories.
  • Oversee site access for all personnel, including contractors and visitors, while keeping accurate records of movements.
  • Manage telecommunication systems, including voicemail and security access controls.
  • Coordinate site inductions and maintain accurate induction documentation.
  • Facilitate the management of mail and courier services for the site.
  • Provide administrative support to the Human Resources department.
  • Assist with various operational tasks, including contractor management and safety administration.
  • Support office relocations and refurbishments, ensuring efficient execution of changes.
  • Act as a liaison for all departments, fostering professional relationships across the organization.
  • Develop and enhance office processes to improve service efficiency.
  • Participate as an emergency team member and coordinate meetings.
  • Utilize company resources effectively while adhering to budgetary constraints.
  • Support colleagues during peak periods to ensure smooth operations.
  • Maintain compliance with legal and ethical business practices.
  • Manage order processing and invoicing tasks.
  • Prepare training rooms as per the corporate training schedule and arrange catering as needed.
  • Oversee administrative tasks across a diverse portfolio of industrial and warehouse operations.

  • Proven customer service skills with the ability to communicate effectively with diverse stakeholders.
  • Strong verbal and written communication abilities for client interaction and documentation.
  • Exceptional time management and organizational skills to prioritize tasks and meet deadlines.
  • Ability to work independently with minimal supervision.
  • High attention to detail and accuracy in all tasks.
  • Demonstrated work ethic and leadership by example.
  • Adaptability to changing work environments.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Access, and Outlook.
  • Capability to assess resource and material needs.
  • Understanding of safety protocols relevant to the industry and a commitment to safe work practices.
  • Ability to pass a national police check.
