
Part-Time Administrative Assistant

**Job Summary:**
We are seeking an experienced Administrative Assistant to join our team in a part-time role. The successful candidate will be responsible for providing administrative support, managing the reception area, and maintaining accurate records.
Key Responsibilities:
- Provide high-quality administrative support to the Coordinator, including coordination of mail, preparation and distribution of correspondence, ordering and stock control of office stationery and cleaning supplies.
- Manage the reception area to ensure best practice telephone and mail communications, both internally and externally, and to maintain the professional image of the organization.
- Perform reception duties, including meeting and greeting residents, their families, staff, and other customers, directing them appropriately, answering telephone calls, transferring calls, and taking messages.
- Manage and maintain filing systems, ensuring all documents are filed in a systematic and organized manner.
- Log property maintenance requirements into Facility Management Software program and arrange necessary work/service in consultation with the Property Department.
- Undertake general housekeeping duties, ensuring common areas are always presented at a high standard, reporting any requirements for repairs, maintenance, and special cleaning to the Coordinator.
- Attend to emergency calls when necessary, provide First Aid if required, and activate medical emergency alarm if necessary.
Requirements:
- Extensive experience in reception, administration, and customer service.
- High level of computer literacy, including MS Outlook, Word, Excel, and Publisher.
- Highly developed interpersonal skills, including the ability to communicate effectively and compassionately with residents, families, staff, and volunteers.
- Current Level 2 First Aid Certificate (or willingness to obtain within a reasonable timeframe from commencement of employment).
- Demonstrated problem-solving and prioritizing skills.
- Ability to work under minimal supervision and undertake a diverse range of tasks.
- Demonstrated ability to operate with discretion and maintain complete confidentiality.
- Experience in recognizing, prioritizing, and actioning emergency or critical responses to issues/needs arising.
- Proven experience in problem-solving and decision-making.
- Demonstrated ability to work autonomously and as part of a team.
