Job Description

We are seeking a highly skilled administrative professional to join our team as a Terminal Support Officer. In this role, you will be responsible for providing high-level administrative support across key operational and engineering functions. Your ability to manage competing priorities, adapt to fast-paced operations, and build strong stakeholder relationships will be critical to your success.

This position plays a vital role in coordinating day-to-day processes, document control, procurement, reporting, and terminal-related projects. You will be responsible for performing administrative duties including document control, record keeping, scanning, and courier coordination. Additionally, you will create and manage purchase requisitions and orders in Oracle and Maximo systems.

You will also assist with the onboarding of new hires, arranging site access, PPE, and workstations. Furthermore, you will maintain SharePoint document control and generate reports using Excel and Visio. Your support will be invaluable in contributing to engineering and operations reporting, including daily KPIs and monthly submissions.

You will work closely with key leaders to coordinate site visits, stakeholder communications, and event logistics. Your skills in managing workflows, maintaining accurate documentation, and upholding strong customer service standards will be essential in this role.

Required Skills and Qualifications
  • Minimum 3 years' experience in an administrative support or terminal operations role.
  • Strong Microsoft Office skills with demonstrated Excel, Outlook, and Visio proficiency.
  • Experience with CMMS (e.g., Maximo) and procurement platforms (e.g., Oracle) is highly regarded.
  • Ability to prepare reports, manage workflows, and maintain accurate documentation.
  • Knowledge of purchasing, receiving, and invoicing processes.
  • Well-developed verbal and written communication with a customer service focus.
  • Proven ability to multitask and prioritise in a fast-paced environment.
