Facilities Administrator Position

We are seeking a highly organized and proactive Facilities Administrator to help keep our office running efficiently.

The ideal candidate will be responsible for managing incoming calls, emails, and coordinating meeting room bookings. Additionally, they will maintain the presentation, security, and functionality of our office spaces, support office repairs, contractor coordination, and health & safety processes.

Key Responsibilities:

  • Acting as the friendly, professional face of the company, greeting clients, visitors, and contractors.
  • Managing incoming calls, emails, and coordinating meeting room bookings.
  • Maintaining the presentation, security, and functionality of office spaces.
  • Supporting office repairs, contractor coordination, and health & safety processes.
  • Handling mail, deliveries, supplies, and vendor relationships.
  • Maintaining building security protocols and access cards.
  • Supporting compliance and incident reporting, including WHS and emergency procedures.

Requirements:

  • A personable and professional manner with excellent communication skills.
  • Experience in a customer-facing reception or administration role, preferably in a corporate setting.
  • Strong organizational skills and attention to detail.
  • A self-motivated, can-do attitude with the ability to manage multiple tasks at once.
  • Confidence in engaging with colleagues and service providers at all levels.
  • Sound IT skills, particularly with Outlook, Word, Excel, and PowerPoint.
  • Familiarity with facilities systems (room booking, access control) is an asset.
  • An understanding of workplace health & safety (WHS) responsibilities is desired.
