An exciting opportunity has arisen for a highly skilled Administrative Coordinator to join Stockland's dynamic Land Lease Communities Development team.

This is a full-time role based in our Melbourne CBD office, offering flexibility to balance working between the office and home while maintaining a strong work-life quality.

The successful candidate will play a pivotal role in enhancing Stockland's brand and supporting the creation of a collaborative team environment.

Key responsibilities include:

  • Organising events, preparing presentations/correspondence, completing reports within set timeframes, drafting letters, and managing emails.
  • Collections and maintenance of files/records, correspondence, and project files for easy retrieval.
  • Performing diary management, travel arrangements, stationery orders, timely invoice payments, typing, expenses, organisation of approvals, and providing solid administrative secretarial support including preparation of minutes, agendas, and reports.
  • Maintaining appropriate systems, procedures, and controls.
  • Providing a welcoming and helpful interface between the team and key stakeholders.
  • Liaising clearly with internal and external stakeholders to ensure meetings are booked, meetings/events are attended, reports/presentations are accurate and prepared by set deadlines.
  • Encouraging a joint effort with peers in the Communities and any cross-business project stakeholders, with particular focus on friendly communication with Corporate Affairs, Shared Services, IT, and any other corporate service.

About You

We're looking for someone with:

  • Experience supporting in an administrative function within a fast-paced environment.
  • Demonstrated diary management and meeting coordination skills.
  • Exposure to processing purchase orders and managing invoicing payments (not essential).
  • A high level of organisational skill, initiative, proactivity, and problem-solving ability.
  • Technical proficiency in using Microsoft Office suite and ability to pick up new systems.
