Strategic Operations Assistant to APAC Leadership

Unlock your potential in a dynamic role as Strategic Operations Assistant to the Asia Pacific (APAC) Leadership Team.

As a vital member of our team, you will provide comprehensive support to four senior executives overseeing HR, Commercial, and Marketing functions. Your key responsibilities will include managing expenses, coordinating executive travel, preparing monthly reports, and collaborating on Departmental events with the CEO's Executive Assistant.

You will work in tandem with the CEO's Executive Assistant, based at our Sydney HQ, to address duties within the broader APAC market context. This includes executing major APAC events such as regional conferences and team offsites, contributing to seamless daily business operations for the Group.

Key Responsibilities
  • Efficiently coordinate meetings, track action items, and follow-ups to ensure timely lead times.
  • Assist in meeting preparation by coordinating materials, taking notes, and ensuring seamless execution.
  • Coordinate team travel (domestic and international), including arranging flights, accommodation, and trip itineraries for executives and guests.
  • Support departmental planning for Functional Offsites in market, handling logistics (accommodation, travel), research, location arrangement, team activities, and training materials setup.
  • Cultivate strong relationships with key stakeholders to facilitate effective communication between the team and the business.
  • Provide general business assistance to senior executives, including administration, meeting coordination, monthly reporting, expense submission, and presentation coordination.
  • Foster collaboration and teamwork to deliver successful APAC events, adhering to budget and outcome requirements.

We seek an experienced Executive Assistant with a strong background in MSFT Suite skills, particularly MSFT Teams, OneNote, and Concur Systems. Additional proficiency in PowerPoint presentation and design is advantageous. Essential qualities include exceptional administration, time management, and organisational skills, along with high attention to detail and a proactive approach to problem-solving.
