Job Title

We are seeking a dynamic and detail-oriented Council Facilities Coordinator to play a key role in the day-to-day management and operation of identified community facilities.

This includes assisting with bookings, maintenance of computerised systems, and providing effective communication and liaison with facility users.

The successful candidate will have excellent communication skills, attention to detail, and the ability to clearly communicate with customers at all levels.

The position requires:

  • Maintenance of computerised booking systems to reflect facilities, bookings & fees;
  • Administration of accounts, arrangement of invoicing & payment for hire of facilities;
  • Issuing keys to hirers, maintaining and monitoring a key security register for all hire areas;
  • Arrangement with contractors additional cleaning, set up for functions and other special requirements of the hirers;
  • Resolution of conflicts with hirers on current and future conflicts of bookings;
  • Maintenance of awareness of the facilities by conducting inspections of centres;
  • Maintenance of bookings & income statistics for individual facilities for reporting.

The Council Facilities Coordinator will work closely with various stakeholders, including managers and staff within the group, employees, general public, regular hirers, casual hirers, instructors, special interest groups, performing arts groups, registered charities & not for profits, neighbourhood centres.

The successful candidate must adhere to council's policies and procedures, WHS obligations and responsibilities, and relevant legislation. This includes identifying potentially unsafe situations or work practices and notifying their supervisor or manager.

Key Responsibilities

  • Council hall and community access bus booking administration, maintenance and updating;
  • Organise and co-ordinate bookings for identified community facilities;
  • Ensure that details and associated paperwork are correctly handled and followed through;
  • Provide support and backup for the booking of other community facilities;
  • Maintain awareness of facilities by conducting inspections of centres;
  • Resolve conflicts with hirers on current and future conflicts of bookings;
  • Maintenance of bookings & income statistics for individual facilities for reporting.
