Music Department Administrative Assistant

Mater Dei College is seeking a highly organized and detail-oriented individual to join their Music Department as a part-time Secretary. The successful candidate will be responsible for supporting the recruitment and paperwork for new music tutors, distributing forms, maintaining a student database, and inputting data into SEQTA.
The Music Secretary will also be responsible for organizing lesson rooms, timetables, and adjusting lesson schedules as needed. Additionally, they will oversee the instrument hire program, manage agreements, and track instrument inventory and repairs.
The ideal candidate will have excellent organizational and time management skills, prioritizing tasks effectively while supporting the Catholic ethos and values of the College. They will also demonstrate the ability to multitask, actively listen, maintain attention to detail, and stay calm under pressure.
Previous experience working in a school environment and knowledge in the use of SEQTA will be viewed favorably. The successful applicant will also be required to hold a current Working with Children Check and National Police Clearance.
Key Responsibilities:
- Support the recruitment and paperwork for new music tutors
- Distribute forms, maintain a student database, and input data into SEQTA
- Organize lesson rooms, timetables, and adjust lesson schedules as needed
- Oversee the instrument hire program, manage agreements, and track instrument inventory and repairs
- Handle event details, transportation, catering, and ticket management for music events
- Provide administrative support for music events, prepare resources, and manage communication with students and parents
Selection Criteria:
- High level of organizational and time management skills
- Ability to multitask, actively listen, and maintain attention to detail
- Proficiency in office software
- Previous experience working in a school environment and knowledge in the use of SEQTA
Qualifications:
- Hold a current Working with Children Check
- Hold a current National Police Clearance
- Annually complete the online Child Protection Procedures and Mandatory Reporting Training and any other required CEWA training
Desirable:
- Excellent written and verbal communication skills
- Excellent organizational and time management skills
- Demonstrated experience in the application of customer service principles and practices
- Demonstrated ability to work autonomously as well as collaboratively with students, colleagues, and parents/guardians
- Proven ability to be flexible and confident in different situations and to provide assistance across a variety of tasks
- Computer literacy and proficiency in Microsoft Office
How to Apply:
Applicants must be prepared to support the Catholic ethos in the performance of their duties. A current National Police History Check as issued by the Department of Education Western Australia must also be included. The appropriate Criminal History Record Check form is available from the Department of Education website.
On appointment, successful applicants will require a Working with Children Check. Application forms are available at certain Australia Post Outlets throughout the State. A list of participating Australia Post outlets can be found on the Australia Post website. An application for a WWC must be made in person.
