Job Description

We are seeking a dedicated and bilingual (Japanese-English) Office Manager to join our dynamic team. The ideal candidate will have a minimum of 4 years of office management experience, with a strong background in managing student enrolments and maintaining operational efficiency in an educational environment.

Key Responsibilities
  • Operational Oversight: Oversee day-to-day office operations, ensuring the smooth running of administrative processes.
  • Student Support: Provide support to Japanese-speaking and other language students, offering guidance on school policies, enrolments, and course information.
  • Communication and Liaison: Coordinate with the Director of Studies and other staff to ensure smooth classroom operations, and maintain strong relationships with students, ensuring they feel supported and integrated into the school community.
  • Admissions and Documentation: Assist with student admissions, documentation, and visa-related processes, ensuring compliance with immigration policies.
  • Financial and Accounting Tasks: Assist with financial and accounting tasks, such as invoicing and budget management.
  • Process Improvement: Help implement and improve office procedures and workflows to ensure efficiency, and maintain and manage relationships with external partners, including international agencies.
Essential Experience
  • Office Management Experience: Must have a minimum of 4 years experience in office management within an ELICOS College.
  • PRISMS and COE Management: Must have at least 3 years extensive experience with PRISMS and managing the COE process.
  • Australian Immigration Policies: Must have current working knowledge of Australian immigration policies.
  • Student Enrolment Processes: Must be proficient in managing student enrolment processes and intakes.
  • Financial Management: Must have at least 3 years experience and be proficient in managing student fees and payment schedules that comply with an ELICOS school's policies and procedures.
  • ASQA Policies and Procedures: Must have indepth knowledge and experience in implementing ASQA policies and procedures for an ELICOS school.
  • Language Proficiency: Must be bilingual in Japanese (native proficiency) and advanced English (written and spoken).
  • Technical Skills: Must have a high level of proficiency in RTO software and the Microsoft Word Suite (Word, Excel, Outlook).
  • Relationship Management: Must have proven ability to manage external and internal relationships, particularly with international agencies.
  • Organizational and Communication Skills: Strong organisational and communication skills, with the ability to multitask in a fast-paced environment.
