Role Overview

As a Genetic Counselling Patient Services Coordinator at Monash IVF Group, you will play a vital role in delivering exceptional customer service to patients requiring genetic counselling. You will work closely with the national Genetic Counsellor team to ensure a smooth process for individuals and couples undergoing IVF treatment, accessing prenatal services, and undergoing reproductive carrier screening.

Key Responsibilities
  • Support the Genetic Counselling Team in delivering a professional, efficient, and empathetic service to patients.
  • Process IVF referrals, appointments, and medical records, ensuring accurate and timely information.
  • Book genetic counselling and clinical geneticist appointments, maintaining accurate patient records.
  • Provide administrative support to the genetic counselling team, including sending letters, organizing billing, and reviewing invoices.
  • Inform patients about required information for genetic counselling appointments and the genetic counselling journey.
  • Triage referrals and reports, working with lead genetic counsellors to ensure timely and effective service delivery.
  • Manage genetic counselling databases, calendars, and policies, ensuring seamless service delivery.
  • Assist with phone and email enquiries, providing excellent customer service to patients.
  • Coordinate and minute intradepartmental team meetings, ensuring effective communication and collaboration.
  • Enter accurate data into the patient management system, maintaining high standards of data integrity.
Requirements
  • Highly skilled and experienced medical/specialist reception and administrative background.
  • Experience in science or a related health discipline is highly desirable.
  • Excellent telephone manner and communication skills.
  • Exceptional computer and IT skills, with proficiency in Microsoft Office Suite.
  • Strong attention to detail and ability to multitask.
  • Ability to work cohesively within a multi-disciplinary team.
  • Superior time management skills and a willingness to adapt to changing priorities.
  • Relevant working experience in health services and an understanding of the role and responsibilities of a Genetic Counsellor.
  • Highly organized, with excellent time management and attention to detail.
  • High level of initiative and a dynamic, flexible approach to work.
  • Strong verbal and written communication skills, with the ability to work effectively with a diverse range of stakeholders.
