We are seeking a highly skilled and compassionate Genetic Counselling Patient Services Coordinator to join our team at Monash IVF Group. As a key member of our team, you will play a vital role in delivering exceptional customer service to our patients requiring genetic counselling.
Key Responsibilities- Support the national Genetic Counsellor team to ensure professional, efficient, and empathetic service is provided to our patients.
- Work with the Genetic Counselling Team, IVF Specialists, Laboratory staff, and patients to support the delivery of a smooth process for individuals and couples having IVF treatment, accessing prenatal services, undergoing reproductive carrier screening, and other genetic tests.
- Receive and process IVF referrals, appointments, and medical records, and obtain relevant consents.
- Book genetic counselling/clinical geneticist appointments as appropriate for PGT, IVF, prenatal, and other genetic counselling patients, and update and maintain accurate patient records.
- Provide quality administrative support to the genetic counselling team, including sending letters, organising billing, reviewing invoices, and informing patients about required information for their genetic counselling appointments.
- Obtain and review referrals and reports, and in association with lead genetic counsellors, triage to clinical team.
- Manage genetic counselling databases, calendars, and update policies and procedures.
- Triage and assist with phone and email enquiries regarding services provided by the genetic counselling team.
- Coordinate, minute take, and manage intradepartmental team meetings.
- Accurate data entry into the patient management system.
- Highly skilled and demonstrable medical/specialist reception and administrative experience.
- Experience in science or a related health discipline is strongly desired.
- Excellent telephone manner.
- Exceptional computer and IT skills, Microsoft Office Suite essential.
- Strong attention to detail.
- Ability to work cohesively within a multi-disciplinary team.
- Superior time management skills with proven ability to multitask.
- A willingness to embrace the Monash IVF Group principles – Care, Collaborate, Communicate, Commitment, Create.
- Relevant working experience in health services.
- An understanding of the role and responsibilities of a Genetic Counsellor is highly desirable.
- Highly organised with excellent time management, attention to detail.
- High level of initiative.
- Able to work cohesively with a multi-disciplinary team.
- Strong verbal and written communication skills.
- Dynamic, flexible, and adaptable in a fast-paced environment.
