Job Summary

We are seeking a highly organized and detail-focused Administration Officer to join our team at Hunter Valley Private Hospital.

About the Role

This is an excellent opportunity for an individual with excellent interpersonal and communication skills to work in a fast-paced administration environment. As an Administration Officer, you will be responsible for performing a broad range of administrative duties, including managing a busy reception desk, answering and redirecting calls, organizing appointments, and preparing admission paperwork.

Key Responsibilities
  • Manage a busy reception desk and ensure a high level of customer service
  • Answer and redirect calls, and respond to emails in a timely manner
  • Organize appointments and prepare admission paperwork for patients
  • Maintain accurate and effective record management systems, including preparation of medical records
  • Perform Health Fund checks as required and manage the collection of excesses/co-payments
  • Coordinate with staff from other departments to ensure seamless delivery of services
  • Complete other clerical tasks, such as data entry, as required

Selection Criteria
  • Excellent interpersonal and communication skills
  • Highly developed organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Strong attention to detail
  • Experience in MS Office (Outlook, Word, and Excel)
  • Ability to work well independently and within a team
  • Flexibility to work a variety of shifts, including early/late shifts and weekend work
  • WebPas Hospital system experience (desired)
  • Health Fund eligibility knowledge
