About the Role

Catholic Healthcare is seeking a highly organized and experienced Board Administrator & Executive Assistant to join our Company Secretariat Department on a permanent part-time basis.

This role will provide support to the Catholic Healthcare Board and Committees, with a focus on ensuring the effective and efficient management of Board, Committee, and Trustee meetings.

Key Responsibilities
  • Board Portal Management: Manage and administer the Board Portal (Diligent), including uploading of Board, Committee, and Trustee meeting packs in line with agreed publication dates.
  • Meeting Coordination: Coordinate and logistics of Board, Committees, Subsidiaries, Trustee meetings, and Board offsite visits.
  • Event Management: Function/Event management from sourcing venue to execution.
  • Expense Reconciliation: Expense reconciliations - uploading of invoices for approval via Basware/Visa Clarity.
  • Administrative Support: General related administrative duties and secretarial support to the team.
  • Travel: Travel to meeting locations for preparation when required.
Requirements
  • Experience: Min 5 years' demonstrated experience as a Board Administrator/EA position.
  • Calendars and Logistics: Experience managing calendars & logistics for Executives or Directors - Board & Committee.
  • Event Management: Event management experience & ability to manage related logistics for key company events.
  • Software Proficiency: Advanced skills in MS Office Suite, including Teams, SharePoint & Outlook & be Tech Savvy.
  • Communication: Ability to articulately draft appropriate business correspondence and emails at Executive level.
  • Police Check: Willingness to apply for a Police Check.
