Sales Operations Coordinator

We are seeking a highly organized and detail-oriented Sales Operations Coordinator to join our team at RLDatix. As a Sales Operations Coordinator, you will play a critical role in supporting the sales team and ensuring the smooth operation of sales processes.
Key Responsibilities:- Administrative Support: Provide administrative support to the sales team by preparing sales documents, presentations, and proposals. Assist in the preparation of sales reports, forecasts, and other relevant documentation as and when required.
- Customer Service: Serve as a point of contact for customer inquiries, assisting with invoicing enquiries and directing them to the appropriate team member if necessary.
- Sales Documentation: Assist in sales documentation such as renewal agreements, and sales collateral. Ensure all documentation is properly archived and accessible for reference.
- Client Information: Gather information on assigned clients (e.g. company size, needs and pricing plans)
- Order Processing: Assist processing of customer services orders
- Travel Arrangements: Arrange travel accommodations including flights, hotels, and transportation for sales director and team members as required for client meetings, conferences, and events. Ensure all travel arrangements align with company policies and budgetary guidelines.
- Event Coordination: Attend and help setup customer events throughout the region
- Issue Resolution: Ensure client escalated issues are dealt with in an efficient manner and manage customer expectation when disruptions occur
- Financial Coordination: Coordinate with the finance and customers to ensure timely and accurate processing of invoices. Follow up on outstanding invoices and assist in resolving any billing discrepancies or issues.
- Data Management: Update and maintain sales databases, Salesforce, and other relevant records with accurate and up-to-date information. Ensure data integrity and consistency across all sales-related platforms.
- Meeting Coordination: Schedule and coordinate internal and external meetings, including setting up conference calls, and preparing necessary materials. Take minutes and follow up on action items as needed.
- General Support: Provide general administrative support to the sales team, including managing calendars, organizing sales-related events or activities, and assisting with ad hoc tasks as required.
- Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail amidst competing demands.
- Communication: Strong verbal and written communication skills to interact with both internal and external stakeholders professionally and effectively.
- Time Management: Efficiently manage time and resources to meet deadlines and achieve targets, demonstrating a sense of urgency and commitment to results.
- Attention to Detail: Commitment to accuracy in data entry, documentation, and record-keeping to ensure the integrity of sales information and compliance with policies.
- Previous Experience: Previous experience in a sales administration or similar role, preferably in the IT industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Organizational Skills: Excellent organisational and time management skills with the ability to prioritize tasks effectively.
- Communication Skills: Excellent communication and interpersonal skills, with the ability to interact professionally with customers and internal stakeholders.
- Problem-Solving: Proactive and resourceful problem solver with the ability to work independently and as part of a team.
- Adaptability: Flexibility to adapt to changing priorities and multitask in a fast-paced environment.
